Program Associate — Cairo

The Program Associate provides technical, logistical, and administrative support and coordination for implementation of all Coptic Orphans development programs.  The incumbent facilitates and coordinates training and support to enhance the performance of the new Volunteer Representatives and others involved in program implementation.  This position assists Program Directors/Managers, and communicates with the Program Manager on implementation, forms, and other administrative matters and program support, providing necessary and critical feedback.

Essential Functions and Responsibilities:

  1. Support Program Managers/Directors in the implementation of various programs; assist in program design and data collection to ensure proper implementation, monitoring, and evaluation.
  2. Compile and record data from forms, maintain project data on the server, and keep hard-copy files.
  3. Report on various program initiatives; prepare monthly, quarterly and ad hoc reports as needed, and provide the Program Manager with in-house information.
  4. In communication with the US Program Director, coordinate program activities with field staff, such as new forms, using project management tools such as Ace Project.
  5. Provide Communications Department with information such as stories and statistics for annual reports and other communications.
  6. Update and maintain the NAP Manual, Rep Handbook and similar manuals and documentation as necessary, ensuring they match changes and directions from HQ.  Support the Programs Department with other administrative and logistical needs; prepare correspondence to partners, such as community development associations’ trainers at various sites.
  7. In collaboration with the Programs team, arrange and prepare logistics for NAP New Rep orientation and program meetings.
  8. Manage, acquire, and secure useful books, documentaries, references, materials, and other helpful resources recommended by the Training & Development Manager & others for the traveling library; ensure effective use of resources to enhance learning and supplement training.
  9. Manage all initiatives related to the programs (scholarships, etc.) internally and externally.
  10. Perform other duties as assigned.

Knowledge and Skill:
 
  1. BA or BSc with at least one year of experience in the development field.
  2. Excellent command of both Arabic and English, both written and spoken.
  3. Strong interpersonal skills, ability to work with all levels of staff within the organization.
  4. Excellent organizational skills including the ability to prioritize duties, be ahead of deadlines and manage expectations in a constantly changing environment, report-writing skills & analytical skills.
  5. Must be able to work independently and be a problem-solver with a minimal amount of direction, while working well as part of a team.
  6. Advanced experience with Microsoft Office, internet, and email. 
  7. Experience in the development field.

Extent of Public Contact (within and outside of the organization)

Regular daily contact with Cairo and field staff, as well as HQ office and external organizations.

Physical Demands (walking, lifting, carrying, etc.)

Limited to typical office environment and some limited travel; walking, sitting, typing, occasional lifting of boxes or luggage. 

Working Conditions and Environment:

  1. Travel within various parts of Egypt as required. 
  2. May be required to work extra/off-duty hours when necessary.
