Human Resources Associate — Cairo, Egypt

The Human Resources Associate is an HR generalist who supports Coptic Orphans' management and employees, ensuring that the organization has access to the highest-quality HR services and programs in collaboration with management and senior HR professionals.  Working out of Coptic Orphans’ Egypt Office, the HR Associate's main responsibilities include coordination, recruitment assistance, compensation & benefits administration, labor relations, organizational support, and general personnel functions.

Essential Functions and Responsibilities:
 

I. Job Posting & Recruitment

  1. Lead the efforts to post, promote, and advertise job openings to secure a sufficient pool of qualified candidates, while efficiently search for improved and creative approaches to advertising positions through new and existing channels.
     
  2. Based on preset criteria, screen applications for the various positions and recommend candidates who best fit position requirements. Phone screen candidates to recommend promising potential candidates based on cultural fit and core values, and participate in initial interviews as directed, while meticulously updating recruitment records and notes on the HR system.  
     
  3. Complete reference checks for selected candidates, and carry out the hiring and onboarding processes (system and documentation) to ensure compliance with legal requirements and internal policies. 
     
  4. Conduct and/or participate in new employees' HR orientation. Serve as first line of support for new employees as they become part of Coptic Orphans.
 

II. General HR Responsibilities

  1. HR Processes & Procedures: Ensure all organizational HR policies and procedures are followed in a timely and consistent manner, such as coordinating and monitoring the annual performance review process to ensure timely completion; ensuring timely payroll processing; ensuring position description updates by timely prompting of management and keeping track of revision dates; updating HR records on HR system; creating/preparing monthly and ad-hoc reports as necessary, etc. 
     
  2. Legal Compliance: Ensure compliance with all legal and organizational requirements in recruitment, hiring, and salary administration, including the requirements of partners such as granting entities. Maintain employee personnel files; ensure completion and uniformity, observing record retention and compliance with other laws and regulations as well as organizational policies.
     
  3. Professional Training & Development: Assist with training & development needs assessments for employees; develop, maintain, and update training resources roster to make available to all employees.
     
  4. Benefits: Ensure effective benefits administration by supporting employees and answering their questions. Serve as the expert on the organization’s benefits plans, researching new/potential benefits and/or benefits providers.
     
  5. Other related functions: Participate in HR projects, such as system conversion, position grade system, salary surveys, and succession planning. Carry out employee satisfaction surveys. Perform other relevant assignments and tasks as necessary. 
 

Supervisory Responsibilities

Knowledge and Skills 

  • BS or BA in HR or closely related field of study, and 3-5 years of professional HR experience. 

  • Outstanding interpersonal skills, high integrity, and demonstrated discretion.

  • Excellent communications and negotiations skills.  People skills a must.

  • Strong organization and follow-through skills.

  • Excellent spoken/written English and Arabic.  

Fiscal Responsibilities (budgetting responsibilities, approval privileges on purchase orderes and check request, reporting and auditing functions).

Extent of Public Contact (within and outside the organization)

  • The HR Associate is the point of contact for candidates and speaks with employment agencies and recruiters on behalf of Coptic Orphans. Thus, s/he must fully understand the mission and work of Coptic Orphans.   
 
Physical Demands (walking, lifting, carrying, etc)
 
  • Limited to office work environment; sitting, typing, walking, and occasional lifting of boxes and luggage.  Occasional domestic travel for job fairs and similar assignments
 
Work Conditions and Environment (i.e., necessary travel, unusual work hours, etc.)
 
  • Some weekends and/or evening work may be necessary when work demands.
